AGOP Exhibition
Participation Terms

These Terms apply to group and solo exhibition projects organised by the Association of Global Online Painters (AGOP).

The dates, venue, theme, participation fee, number of works, application deadlines and other details of a particular exhibition are published on the relevant open call page.

Important: where the terms of a particular project differ from the rules on this page, the terms stated in the open call take precedence.

01 Accepted Artwork

AGOP presents original works created by the artist using traditional physical media.

Unless the terms of a particular exhibition state otherwise, the following may be considered:

  • oil or acrylic painting;
  • watercolour;
  • pastel;
  • graphic art;
  • drawing.

Sculpture and other three-dimensional works are accepted only for projects whose open call terms expressly allow them.

Photography, digital art and works created using artificial intelligence are not accepted. Reproductions and printed copies may be included only in projects whose terms expressly allow that format.

The artist confirms that they are the author of the works submitted and have the right to provide them for display, publication and sale.

02 Number and Dimensions of Works

The number of works that may be submitted for consideration is stated in the terms of the particular exhibition. As a general rule, an artist may submit one to three works for a group exhibition.

The standard size range for group exhibitions is 30 × 30 to 60 × 80 cm. Larger works, or works of a non-standard format or weight, must be agreed with AGOP before an application is submitted.

Works on paper in standard A4 (21 × 29.7 cm) and A3 (29.7 × 42 cm) formats are also accepted.

The number, dimensions and format of works for solo exhibitions are agreed with the artist individually.

03 Applications and Selection

Applications are submitted through the form indicated on the relevant open call page. The artist provides information about themselves and uploads details and photographs of the works they wish to exhibit.

All applications are reviewed by AGOP’s curatorial board. Submitting an application does not guarantee that the works will be included in the exhibition.

After selection is complete, AGOP communicates the result by email. Selected artists receive further instructions, payment deadlines and information about delivering their works.

Participation by artists enrolled in current AGOP annual programmes is governed by the relevant programme and the terms of the particular open call.

04 Fees and Payment

One-off participation by an external artist in an AGOP physical group exhibition costs €199. For external artists, online exhibition participation costs €15 per work. Minimum three works — €45; maximum 10 works. For participants in AGOP annual programmes, participation with up to 10 works in the online exhibition is included. Details are published on the relevant exhibition page. Previously paid arrangements remain unchanged.

No advance payment is required to submit an application. The participation fee is paid only after curatorial selection and confirmation of participation by AGOP.

If an artist pays the participation fee and then withdraws from the exhibition, the amount paid is not refunded.

If AGOP cancels the exhibition, the participation fee paid is refunded to the artist in full.

The participation fee does not include the cost of shipping works to and from the exhibition venue, insurance, courier services or additional preparation of works for display.

05 Preparing Work for Display

Works must arrive ready for installation.

A painting on canvas must have a secure hanging system. If a canvas is displayed without a frame, its sides must be neatly painted and consistent with the overall appearance of the work.

Works that require a frame must be framed before dispatch. Works on paper in A4 and A3 formats may be sent unframed: AGOP may display them in its own standard frames for the duration of the exhibition.

If a work requires additional framing on site, the availability, method and cost of the service are agreed separately with the artist before the exhibition begins.

Each work must have a clearly legible inscription or label in English on the back. The details must match the information in the application and catalogue and follow this format:

  • Title: title of the work;
  • Artist: the artist’s first name and surname, using the same spelling as in the catalogue;
  • Materials: materials and support, for example, oil on canvas;
  • Dimensions: dimensions of the work in centimetres;
  • Year: year of creation;
  • Place of origin: city and country where the work was created.

Certificate of Authenticity and Artist Materials

The artist may enclose their own certificate of authenticity, but this is not a requirement. If a certificate is needed for a sale or at the buyer’s request, AGOP may issue one as the artist’s representative, based on the information provided in the application.

The artist may send their own promotional materials with the works, such as business cards, leaflets, postcards and other printed materials with a link to their website or their contact details. AGOP will display these materials in the exhibition space and distribute them to visitors during the exhibition.

AGOP may decline to install a work if its condition, construction or method of attachment creates a risk of damage to the work itself, other exhibits or the exhibition space.

06 Delivery to the Exhibition

The artist independently arranges and pays for delivery of the works to the exhibition.

After confirming participation, AGOP provides the delivery address, recipient and deadline for the works to arrive. The artist must provide secure packaging suitable for transporting the work and for its subsequent return shipment.

If a work is sent by post or courier, the artist provides AGOP with the tracking number.

By prior arrangement, the artist may deliver the work to the exhibition venue in person.

The artist’s personal attendance at the opening or during the exhibition is not required.

07 Return Shipping

After the exhibition ends, AGOP arranges the return shipment of works using a standard postal service. The artist pays the shipping cost.

If the artist wishes to use a courier or another delivery method, the arrangements and cost are agreed separately with AGOP.

By prior arrangement, the artist or their representative may collect the work in person.

AGOP uses the packaging in which the work arrived for return shipping. The packaging must therefore be sturdy, easy to open carefully and suitable for reuse.

08 Insurance

Insurance of the work is not included in the participation fee.

The artist independently arranges and pays for insurance for the entire period: delivery to the exhibition, the work’s time in the exhibition space and return transport.

09 Artwork Sales

All works presented in the exhibition must have a sale price in euros.

AGOP handles the sale. AGOP receives payment from the buyer and, after receiving the full amount, transfers the balance to the artist after deducting its commission. Sales commission is 35% for external participants in physical exhibitions, 35% for external participants in online exhibitions through Artsy, and 30% for participants in AGOP annual programmes, calculated on the actual sale amount. Previously paid arrangements remain unchanged.

The artist must inform AGOP if a work submitted for the exhibition becomes unavailable for sale before it is handed over to AGOP.

10 Use of Images and Information

By submitting an application, the artist permits AGOP to use their name, brief biographical information, artwork details and the images provided for:

  • reviewing the application;
  • preparing the exhibition display and digital catalogue;
  • publication on AGOP’s websites and social media;
  • information and promotional materials relating to the exhibition;
  • coverage of AGOP’s activities and exhibition projects.

Copyright in the works remains with the artist.

11 Contacting AGOP

Organisational information, selection results, payment instructions and delivery details are sent to the email address provided by the artist in the application form.

The artist is responsible for the accuracy of the contact details provided and must notify AGOP of changes that may affect participation, delivery or the sale of a work.
